Operations & Project Manager – Maternity Cover (Part-Time)
Dates: 1st June 2026 – February 2027 (8 Months).
Fee: £2,000 per month (Fixed-term Freelance Contract).
Hours: Approx. 15 hours per week (Flexible/Responsive).
Location: UK based ideally, but the day-to-day role is fully remote.
Training: 2 weeks shadowing period prior to start date (paid).
I am looking for an extremely organised, proactive, and trustworthy Operations & Project Manager to cover me at Lucia Garcia Studio (LGS) during my maternity leave. You will be the primary point of contact between our clients and our talented team of three designers.
This is a role perfect for someone who enjoys the fast-paced nature of treatment design and creative development. It’s a unique opportunity for an organised professional to work with one of the leading treatment design studios in the industry, taking pride in keeping the studio running like clockwork whilst keeping a team motivated and busy. This job can absolutely be done alongside existing freelance treatment work.
The Role
1. Client & Booking Management
Responding to job requests in a timely, fair and kind manner.
Agreeing on budgets and terms and conditions with clients when booking jobs.
Managing the team’s calendar via Apple Calendar and Google Sheets; booking jobs based on availability and fit.
Handling the freelance booking system (pencils, challenges, 2nd pencils, and confirmations) with confidence.
2. Quality Control & Team Support
Occasionally reviewing work from the team and to give advice when necessary.
Keeping the team updated via WhatsApp about the schedule and bookings.
Sharing a regular round-up of the studio’s latest work between the team.
Reaching out to regular and new clients to ensure future bookings.
3. Financial Administration
Creating invoices using InDesign templates and sending them to clients.
Chasing late payments.
Managing cashflow for business expenses and paying team members’ invoices via the Revolut Business App.
Requirements
Some experience in Treatment Design and Creative Research is a must.
Proficiency in InDesign and Google Sheets is a must.
You will need your own Adobe Creative Cloud account.
Comfortable with basic maths (VAT and percentage-based fee splits).
You will be provided with a dedicated LGS email.
About You
The right person for the role will be someone with experience in creative research and treatment design, who is also extremely detail-oriented and organised. Someone who is able to be responsive to incoming requests throughout the day to ensure the team stays busy and booked. Reliable, fair and kind when it comes to negotiating, yet supportive and motivating with the team.
